This policy explains what personal information Archline Dental Search collects, why we collect it, and what we do with it. It covers this website and the recruitment services we provide to dental practices and dental professionals. We’ve tried to keep it plain and specific to how we actually work.
Who we are
Archline Dental Search (“Archline,” “we,” “us”) is a recruitment service based in Dallas, Texas, that helps independently owned dental practices hire permanent dental hygienists. When we refer to “the Site,” we mean archlinedental.com and its pages. When we refer to “candidates,” we mean dental professionals who contact us or whom we contact about job opportunities. “Clients” means dental practices that engage us, or talk to us about engaging us, to help them hire.
Information we collect
Information you give us
The Site has no forms or accounts. We receive personal information when you email us, speak with us, or send us documents. Depending on who you are, that may include:
- Practices: your name, role, practice name and location, email address, phone number, and details about the position you’re hiring for, such as hours, compensation range, start date and team structure.
- Candidates: your name, email address, phone number, general location, résumé, work history, licensure and certification details, availability, compensation expectations, and preferences about your next role. If you choose to provide references, we’ll also hold their names and contact details.
Please don’t send us information we haven’t asked for and don’t need, such as Social Security numbers, financial account details, health information, or details about protected characteristics like age, religion or disability. Never send us patient information of any kind.
Information from other sources
When looking for candidates, we may review information that professionals have made publicly available, such as professional networking profiles, and may check public licensure records. We may also receive your details from someone who recommends you. If we contact you this way, we’ll tell you how we found you, and we’ll stop if you ask.
Information collected automatically
The Site itself does not collect information about your visit. Like any website, it is delivered by a hosting provider whose servers process technical data, such as your IP address, browser type and the pages requested, in order to deliver the Site and protect it from abuse. How we use information
We use personal information to run our recruitment service, and for no unrelated purpose. Specifically, to:
- respond to your inquiries and keep in touch about your search or job interests;
- understand a practice’s hiring needs and a candidate’s experience, qualifications and preferences;
- identify potential matches between candidates and practices;
- introduce candidates to practices, with the candidate’s permission (see the next section);
- arrange interviews and coordinate the hiring process;
- prepare and manage client agreements, invoices and records;
- comply with legal obligations and protect our rights.
We do not sell personal information, and we do not use or share it for advertising.
How candidate information is shared
We will not share your name, contact details, résumé, or any other information that identifies you with a prospective employer without your permission.
Before introducing you to a practice, we will tell you about the opportunity and the practice, and ask whether you want to be put forward. You can say no to any introduction, and saying no doesn’t affect whether we contact you about other roles.
Before you agree to an introduction, we may describe your background to a practice in general terms, for example years of experience and the area you’re in, to gauge interest. When we do, we take care that the description can’t reasonably be used to identify you.
Once you agree to an introduction, the practice will receive the information we’ve agreed to share and will handle it under its own privacy practices. We ask clients to use candidate information only to evaluate candidates for the role in question.
Practices: we share details of your practice and the position with candidates as needed to gauge their interest. If you’d like a search kept confidential, tell us and we’ll describe the role without naming you until you’re ready.
Service providers and other disclosures
We use a small number of third-party providers to operate the Site and our business. They process information on our behalf and only as needed to provide their services to us:
- Website hosting: Cloudflare, Inc., which hosts and delivers the Site.
- Email: [Email provider, e.g. Google Workspace or Microsoft 365], which hosts our email accounts and messages.
- Document storage: [File storage provider, if different from the above], where we keep résumés and working notes.
We may also disclose information if required by law or legal process, to protect the rights, safety or property of Archline or others, or in connection with a sale, merger or reorganization of our business, in which case this policy would continue to apply to information transferred.
How long we keep information
We keep personal information only as long as we need it for the purposes above.
- Candidates: we keep your information while we’re actively in touch and for up to [Retention period, e.g. 24 months] after our last contact, so we can let you know about suitable roles. You can ask us to delete it sooner at any time.
- Clients: we keep business contact details, agreements and invoices for as long as the relationship continues and for [Period, e.g. 7 years] afterward for accounting, tax and legal purposes.
We may keep information longer where the law requires it or where it’s needed to resolve a dispute.
Your choices and requests
You can ask us at any time to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is inaccurate or out of date;
- delete your information;
- stop contacting you about opportunities.
To make a request, email [email protected]. We may need to confirm your identity before acting on it. We will respond within a reasonable time and within any period required by applicable law. Depending on where you live, you may have additional rights under state privacy laws, and we will honor those that apply to us.
If you’ve already been introduced to a practice, deleting your information from our records won’t remove it from the practice’s records, but we will let the practice know of your request where it’s reasonable to do so.
How we protect information
We use reasonable administrative and technical safeguards appropriate to a small business: access to candidate and client information is limited to people who need it, our accounts are protected with strong passwords and, where available, multi-factor authentication, and we use established providers to host our email and files.
No method of storage or transmission is completely secure, and ordinary email is not encrypted end to end. Please keep that in mind when deciding what to send us; we’re happy to arrange another way to share documents if you prefer.
Children
The Site and our services are intended for adults. We do not knowingly collect personal information from anyone under 18.
Links to other websites
The Site may link to websites we don’t operate. Their privacy practices are their own, and we encourage you to read their policies.
Changes to this policy
We may update this policy as our services or the law change. When we do, we’ll post the new version here and update the effective date at the top. If a change materially affects how we handle information we already hold, we’ll take reasonable steps to let affected people know.
